Livelihoods and Administrative Assistant

Summary of Responsibilities:
Under the supervision of the Livelihoods Project Manager, the Livelihoods and Administrative Assistant (LAA) is an entry-level position responsible for basic coordinating, accounting and administrative tasks. The work involves direct contact with MCT staff, local program partners, banking institutions and commercial vendors. A skilled LAA will perform a variety of coordinating, accounting, bookkeeping and financial tasks, including keeping financial records updated, tracking budgets, filing, preparing reports and reconciling bank statements.

Salary and Benefits and Duty Station:
This is an entry-level, support staff position. MCT does not offer relocation assistance for this level of employment but the LAA will be eligible for MCT’s other benefits including, health and life insurance and retirement plan. Salary will depend on experience and qualifications, but MCT offers salaries comparable to, or higher than other employers of its type in Micronesia.

Specific Responsibilities:
Specific daily duties of the Livelihoods and Administrative Assistant include (with Livelihoods needs and activities prioritized), but are not limited to:
- Schedule and coordinate Coconut for Life (C4L) and related livelihoods program meetings, consultations and other activities
- Prepare payment requests for the C4L and related livelihoods activities
- Assist with tracking Livelihoods project budgets and pipelines
- Distribute checks and other program documents
- Scan, file and log Livelihoods and general accounting documents
- Willing to work long hours and weekends sometimes.
- Handle accounts receivable & accounts payable
- Reconcile all bank accounts on monthly basis
- Run errands including delivering checks/payments, bank deposits, wire transfers and transfer funds between accounts, deliver checks/payments to be signed by Board of Trustees.
- Maintain and file finance and admin documents
- Maintain a log sheet on all processed checks/payments
- Prepare invoice and receipts for payments
- Prepare bank deposits, general ledger postings and statements
- Reconcile accounts in a timely manner
- Enter key data of financial transactions in database on a daily basis
- Research, track and restore accounting or documentation problems and discrepancies
- Provide assistance during annual financial audits, particularly with the preparation of the trial balance, locating and preparing requested documents for submission (especially during field testing)
Qualifications:
A successful Livelihoods and Administrative Assistant will have the following combination of qualifications, skills and competencies:
- An Associate degree or equivalent certification and 2+ years’ accounting/bookkeeping experience (accounts payable preferred)
- Experience with QuickBooks, Microsoft Office suite and Google Docs and proficiency with Windows operating system
- Advanced written and oral communication skills as well as accuracy and attention to detail and aptitude for numbers
- Familiarity with bookkeeping and basic accounting procedures and particularly, hands-on experience with spreadsheets and financial reports
- Ability to operate office machines, equipment and have valid driver license
