 Accounting and Admin Assistant

Opening Date: March 16, 2022
Closing Date: April 15, 2022
Responsible to: Finance Officer

SUMMARY OF RESPONSIBILITIES
Under the supervision of the Finance Officer (FO), the Accounting and Admin Assistant (AAA) is an entry-level position responsible for basic accounting and administrative tasks. The work involves direct contact with MCT staff, local program partners, banking institutions and commercial vendors. A skilled AAA will perform a variety of accounting, bookkeeping and financial tasks, including keeping financial records updated, preparing reports and reconciling bank statements.

SPECIFIC RESPONSIBILITIES
Specific daily duties of the Accounting and Admin Assistant include, but are not limited to:
  • Prepare, fulfill and distribute checks
  • Maintain, scan, file and log accounting and admin documents and records
  • Handle accounts receivable & accounts payable
  • Reconcile all bank accounts on monthly basis
    • Perform budget tracking and reconciliation
    • Run errands including delivering checks/payments, bank deposits, wire transfers and transfer funds between accounts, deliver checks/payments to be signed by Board of Trustees. 
    • Maintain a log sheet on all processed checks/payments
    • Prepare invoices and receipts for payments
    • Prepare bank deposits, general ledger postings and statements
    • Reconcile banking accounts in a timely manner
    • Enter key data of financial transactions in database on a daily basis
    • Research, track and restore accounting or documentation problems and discrepancies
    • Provide assistance during annual financial audits, particularly with the preparation of the trial balance, locating and preparing requested documents for submission (especially during field testing)

QUALIFICATIONS
A successful Accounting and Admin Assistant will have the following combination of qualifications, skills and competencies:
  • An Associate degree or equivalent certification and 2+ years’ accounting/bookkeeping experience (accounts payable preferred)
  • Experience with QuickBooks, Microsoft Office suite and Google Docs and proficiency with Windows operating system
  • Advanced written and oral communication skills as well as accuracy and attention to detail and aptitude for numbers
  • Familiarity with bookkeeping and basic accounting procedures and particularly, hands-on experience with spreadsheets and financial reports
  • Ability to operate office machines, equipment and have valid driver license
 
SALARY AND BENEFITS
This is an entry-level, support staff position. MCT does not offer relocation assistance for this level of employment but the AAA will be eligible for MCT’s other benefits including, health and life insurance and retirement plan. Salary will depend on experience and qualifications, but MCT offers salaries comparable to, or higher than other employers of its type in Micronesia.
